Exercise 1: Vocabulary & Concepts
Render Pipeline Noun /ˈrendər ˈpaɪplaɪn/
The sequence of steps used to create a 2D image or effect from 3D scenes or data.
“If the new AI features speed up our render pipeline, that is great, but we won't pay extra for it.”
Spatial Audio Noun /ˈspeɪʃl ˈɔːdioʊ/
A play-back technique that creates a 3D sound environment, allowing users to perceive sound all around them.
“The software helps us map spatial audio alongside our lighting cues.”
Surcharge Noun /ˈsɜːrtʃɑːrdʒ/
An additional charge, tax, or cost added to an existing bill or contract.
“The supplier wants to add a monthly surcharge for access to the automated lighting tools.”
B2B Client (Business-to-Business) Noun /ˌbiː tə ˈbiː ˈklaɪənt/
A company that sells products or services to another company rather than to individual consumers.
“As a major B2B client, our multi-license purchase gives us strong negotiating leverage.”
Beta Tester Noun /ˈbeɪtə ˈtestər/
A user who tests software before its official commercial release to find bugs and provide data.
“Our designers are essentially acting as beta testers by feeding project data into your system.”
Exercise 2: Useful Expressions
Highlighting the Value of Speed & Completion
"The automated spatial audio mapping helps us work faster and build more complete soundscapes."
"We want these features because they streamline our lighting design pipeline, not because we want a luxury add-on."
"Faster rendering speeds mean we run more tests on your platform, which directly increases our usage volume."
Pushing Back on AI Pricing Tiers
"We don't want to pay extra money for built-in AI upgrades when our creative data is helping train your engine."
"As the buyer, we are already providing the massive production files that optimize your software."
"A separate pricing tier for generative lighting or audio tools is a deal-breaker for our production budget."
Securing a Win-Win Deal
"The supplier will make plenty of money through our long-term license volume; we should not be charged a premium fee for standard tech updates."
"We are looking for a long-time software partner who bundles innovation into the base price."
Exercise 3: Dialogue Practice
Read the dialogue aloud with your partner or tutor. Alex is the Producer/Tech Director at the immersive experience studio (The Buyer). Sam is the Account Executive for the software platform (The Supplier).
Alex: Thanks for getting on a call, Sam. We need to finalize our renewal for the 150 software licenses we use across our sound, lighting, and interactive media teams.
Sam: Great to connect, Alex. I assume your team has been exploring the new AI-driven spatial audio and automated projection-mapping tools we integrated last month?
Alex: Yes, we've tested them. The automation allows our designers to map frequencies and light cues much faster, and it gives us a more complete picture during the pre-visualization phase. It’s a solid evolution of the tool.
Sam: Excellent! Because those tools drastically reduce your render times, the new contract places those licenses under our "Advanced AI Creative Tier," which reflects an increase of 15% per license.
Alex: To be completely frank, Sam, we aren't going to pay more money for features that should be standard updates. We are the buyer here, and our license volume is significant.
Sam: I understand, Alex, but the computing power required to automate those soundscapes and real-time lighting cues costs our development team a lot to maintain.
Alex: True, but the supplier side is also making money through this setup. By using our massive, live-event production files on your platform, our teams are essentially training your models to handle complex, real-world data. Your software gets smarter because we use it. We shouldn't be penalized with a surcharge for providing that value.
Sam: That's an interesting way to look at it, but my hands are tied regarding the tier structure.
Alex: If you want to close this deal, we need to keep our per-license rate flat. We are currently evaluating alternative software suites for our upcoming winter experiences. If you can bundle the audio and lighting AI tools into our existing standard package, we can sign a multi-year renewal today. That’s a true win-win.
Sam: ...A multi-year renewal definitely changes the math on our end. Let me talk to our director. If we lock in a 24-month contract, I am confident we can waive the AI tier fee entirely.
Exercise 4: Customized Role Play
The Situation
Your studio is preparing a major new nighttime immersive experience using outdoor projection mapping and thousands of synchronized LED lights. You need to renew your creative software package. The supplier wants to charge you extra for their new AI-assisted "Smart-Lighting Sync" feature, which automatically matches strobe speeds to audio frequencies.
Your Goal: Convince the salesperson to give you the AI features for free by explaining that:
It helps your team build experiences faster and more completely.
You are a major buyer and won't accept a price hike.
The supplier benefits from your complex production files to make their software look good in the industry.
Your partner/tutor will play the role of the stubborn Tech Salesperson.
Exercise 5: Discussion Questions
Why do you think software companies try to charge extra for AI features instead of including them as regular updates?
In the immersive entertainment industry, how does "getting information faster and more completely" help you beat your competition?
How can you use the fact that you are a high-volume "buyer" to make a supplier back down during a price argument?
Do you agree that suppliers make money from their clients just by having those clients use and train their new AI systems? Why or why not?
